Privacy Policy.

BookAChauffeur.ca ('BookAChauffeur,' 'we,' 'us,' or 'our') is committed to protecting your personal information. This Privacy Policy explains how we collect, use, disclose, and protect information you provide when using our website and limo matching service.

This policy complies with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and the Canadian Anti-Spam Legislation (CASL).

1. Who We Are

BookAChauffeur.ca is a chauffeur and limo matching platform. We operate as a connection service between people looking for ground transportation and local chauffeur operators across Canada. We are not a limo or transportation company. We do not directly provide transportation services.

2. What Information We Collect

Information You Provide Directly

  • Pickup city and destination address
  • Date and time of required service
  • Service type and number of passengers
  • Special requests or additional notes

Information Collected Automatically

  • Browser type and version
  • IP address and approximate geographic location
  • Pages visited on our website and time spent on each page
  • Referring website (how you found us)
  • Device type (desktop, mobile, tablet)

Automatic collection happens through Google Tag Manager, which loads Google Analytics 4 (aggregate site metrics) and Microsoft Clarity (anonymized session replays and click heatmaps with all form inputs auto-masked — the contents of the quote form are never captured). Both tools load only after you click Accept on the cookie banner shown on your first visit. If you click Reject, GA4 and Clarity do not load and no analytics cookies are set on your browser. Your decision persists for one year via a bac_consent cookie. We do not run advertising or remarketing pixels (no Meta Pixel, no LinkedIn Insight, no TikTok pixel). To change your decision later, click the one-click opt-out link or re-enable analytics, or email info@bookachauffeur.ca.

3. How We Use Your Information

  • To match your transportation request with appropriate chauffeur operators in our network
  • To transmit your contact details and trip information to 1–3 qualified operators who will contact you with a quote
  • To respond to inquiries, support requests, or complaints you direct to us
  • To improve the functionality and content of our website
  • To comply with legal obligations under federal and provincial law

We do not use your information to send marketing communications unless you have expressly consented in accordance with CASL.

4. How We Share Your Information

With Matched Chauffeur Operators

When you submit a quote request, your name, contact information, and trip details are shared with chauffeur operators in our network matched to your request. We require operators who receive your request to use your information only to contact you with a quote. By submitting the quote form, you expressly consent to this sharing, as disclosed in the consent statement on the form.

With Service Providers

We use third-party service providers ("subprocessors") to operate our website. These providers are contractually prohibited from using your data for purposes other than providing services to us. The current subprocessors are:

We do not currently use a third-party email service to send marketing email; CASL-compliant operator messages are sent by the matched operator from their own email infrastructure (see Section 5). If we add an email subprocessor in the future, this list will be updated and the change noted in Section 11. Cross-border transfers to U.S. subprocessors are made under the contractual terms of each provider; you may direct any objection to info@bookachauffeur.ca.

As Required by Law

We may disclose your personal information where required by Canadian federal or provincial law, court order, or governmental authority.

We Do Not Sell Your Data

BookAChauffeur does not sell, rent, or trade your personal information to any third parties for their own marketing purposes.

5. CASL Compliance

  • We do not send commercial electronic messages to anyone who has not provided express or implied consent
  • Our quote request form includes clear, affirmative consent language before submission
  • We do not use pre-checked consent boxes
  • Every commercial electronic message includes an unsubscribe mechanism
  • Unsubscribe requests are honoured within 10 business days

6. Data Retention

  • Personal information from quote requests that did not result in a booking is retained for up to 24 months after submission, then permanently de-identified by an automated daily job
  • Personal information from completed bookings is retained for up to 7 years to satisfy Canada Revenue Agency record-keeping rules, then permanently de-identified
  • "De-identified" means name, email, phone, dropoff address, free-text notes, IP address, user agent, and any one-time-passcode are permanently nulled out. The remaining trip metadata (service type, pickup city, pickup date and time, passenger count, traffic source) is not personal information under PIPEDA and is retained indefinitely for aggregate analytics
  • CASL unsubscribe records, where applicable, are retained for 3 years as required by the Canadian Radio-television and Telecommunications Commission
  • Google Analytics 4 retention follows the GA4 data retention setting we configure (default 14 months)
  • Microsoft Clarity session recordings are retained according to Clarity's standard retention period (currently 30 days)
  • You may request deletion of your personal information at any time, before the automatic windows above expire (see Section 8)

7. Data Security

BookAChauffeur uses HTTPS encryption and restricts access to personal data to authorized personnel and partner operators on a need-to-know basis. No method of internet transmission is completely secure, and we cannot guarantee absolute security.

8. Your Rights Under PIPEDA

  • Right of Access — request a copy of the personal information we hold about you
  • Right of Correction — request that inaccurate information be corrected
  • Right of Deletion — request that your personal information be deleted, subject to legal retention requirements
  • Right to Withdraw Consent — withdraw consent to our use of your personal information at any time. Important implications are described below, as PIPEDA Principle 4.3.8 requires.

Withdrawal of Consent — Two Separate Pathways

1. To withdraw consent from BookAChauffeur: Email info@bookachauffeur.ca with the subject "Withdraw consent." Within 5 business days, we will acknowledge receipt. Within 10 business days, we will (a) de-identify your record in our systems — your name, email, phone, dropoff address, free-text notes, IP address, and user-agent are permanently nulled (aggregate trip metadata such as city and date is retained for analytics as non-personal information), and (b) notify each operator who received your request that you have withdrawn consent.

2. To stop messages from a specific operator: Use the unsubscribe mechanism that operator provides in any email or SMS they send you. CASL §6 requires every operator to include a working unsubscribe in every commercial electronic message. Each operator is independently responsible under CASL §11 for honouring your unsubscribe within 10 business days. BookAChauffeur is not the sender of operator-to-rider messages and is not legally liable for an operator's failure to honour an unsubscribe — though we will suspend any operator from our network who fails to comply with CASL or the Operator Agreement.

What Withdrawal Cannot Do

Data we have already shared with matched operators cannot be "recalled" from their systems by BookAChauffeur. Once an operator has received your trip request, the operator holds that record subject to their own PIPEDA obligations and our Operator Agreement, which requires them to de-identify or delete your personal information within 30 business days of a withdrawal notification from us, and to confirm completion to us in writing.

If you have a concern about a specific operator's handling of your data, you may file a complaint directly with that operator, with our Privacy Officer at info@bookachauffeur.ca, with the Office of the Privacy Commissioner of Canada, or — for Quebec residents — with the Commission d'accès à l'information du Québec.

9. Cookies & Tracking

BookAChauffeur uses Google Analytics 4 and Microsoft Clarity for site analytics. These tools load on every page and set their cookies automatically under the implied consent model permitted under PIPEDA for non-sensitive analytics data, with the disclosures on this page, the Cookie Policy, and the site footer acting as your notice. Microsoft Clarity records anonymized session replays and click heatmaps; all form inputs (name, email, phone, addresses, free-text notes) are auto-masked so the contents of what you type are never captured. We do not run advertising or remarketing cookies on this site.

10. Third-Party Links

Our website may contain links to third-party websites. This Privacy Policy does not apply to those sites. We encourage you to review the privacy policies of any third-party sites you visit.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Updates will be posted on this page with a revised 'last updated' date. We recommend checking this page periodically.
